Envoi can fetch invoices and receipts straight from your email inbox. You connect under Settings, IMAP. You must be an owner or administrator.
Connect
- Choose Connect Gmail.
- Log in with Google and give Envoi access.
Automatic polling is turned on right away.
- Fill in IMAP server, Port (usually 993), Use SSL/TLS, Email address and Password.
- Choose Test connection. If you test settings other than the saved ones, you must enter the password again.
- Tick Enable automatic polling.
- Choose Save.
For Outlook and Hotmail, the server is outlook.office365.com. For other providers, you find the server address in their help pages, or in the settings of your email program.
The password is stored encrypted, and is never shown again.
What is fetched
Envoi checks the inbox every 10 minutes. An email is fetched when:
- The subject contains one of these words: faktura, regning, kvittering, bilag, kreditnota, purring, påminnelse, betalingsvarsel, forfall, ordrebekreftelse, kvitto, invoice, receipt, statement or billing.
- It has an attachment in PDF, PNG, JPG or GIF, of up to 20 MB.
One email becomes one received invoice, even when it has several attachments. The first attachment is read by Saga, and the others are attached. The invoice ends up under Invoices, Inbox, Received, with the status Pending. See Received invoices.
Emails that are fetched are marked as read in the inbox. Nothing is moved or deleted.
The first time Envoi checks the inbox, only unread emails are fetched. Invoices you have already opened, you must upload yourself. An email that does not match the rules above is skipped and is not fetched later.
Status
Under Polling status you see Last polled and any Last error. To fetch right away, choose Poll now.
When Gmail must be reconnected
If you have changed your password with Google, or revoked Envoi’s access, fetching stops, and you see a message that Gmail must be reconnected. Choose Reconnect Gmail.
Disconnect
Choose Remove (or Disconnect for Gmail). Automatic polling stops. Invoices that have already been fetched stay.
